Terms of Use

Scan Wizard is made by Passionate Minds LLC (“we”, “us”), based in Aguadilla, Puerto Rico. By using Scan Wizard you agree to these terms. They are short on purpose.

1. What Scan Wizard does

Scan Wizard lets you scan product barcodes with a phone, count stock, fill in item names, photos and descriptions, and download or send the result to your register or website. Some features use AI. Some use free public barcode lists.

2. The demo

  • The demo gives you a practice store. Anything you put in it can be cleared out after 7 days of no use.
  • Do not put anything private or important in the demo.
  • The demo limits how many AI helps each phone gets, and how much AI we pay for each month. When the limit is reached, the AI buttons stop until it resets.

3. Your account and your store

  • You are responsible for what you and your staff scan, save and send to your register.
  • Keep your sign-in private. Tell us right away if someone else gets in.
  • You must be allowed to run the store you use Scan Wizard for.

4. Your data stays yours

Your item list, prices, costs, counts and photos belong to you. We use them only to run Scan Wizard for you. We never sell them or show them to other stores. You can download everything at any time, and ask us to delete it.

5. AI and public data: check before you rely on it

  • Names, descriptions and photos can come from AI, from free public barcode lists, or from the web. They can be wrong or out of date.
  • Always look at an item before you save it. You are responsible for what you list for sale.
  • Product photos from public lists keep the licence of whoever made them. Credit is shown where the licence needs it.

6. Prices and payment

Counting stock is free. Where we charge, for example for AI write-ups or a monthly plan, the price is shown to you before you pay. Payments are handled by Stripe. We never see your card number. You can cancel any time, and you keep what you already downloaded.

Refunds. All sales are final. If the AI failed to deliver, contact the developer within 3 days of the purchase. We refund the AI items you have not used. AI items you have already used are charged at your pack’s price per item. For example, a 50-item pack costs $20, which is 40¢ an item. If you used 10 items, those cost $4.00 and you are refunded $16.00.

Importing your own list. Uploading an Excel or CSV list is free once you have bought any AI pack. Without a pack, it is a one-time unlock of $29.

7. Connections to your register

When you connect Clover, Square, Shopify or another system, Scan Wizard only does what you tell it to: for example, add an item or change a count. Check your register after your first sends. We are not part of Clover, Square or Shopify and they are not part of us. Their own terms still apply to you.

8. What not to do

  • Do not use Scan Wizard for anything illegal.
  • Do not try to break it, overload it, or get around its limits.
  • Do not scan or upload things you have no right to use.

9. No promises, and limits

Scan Wizard is provided “as is”. We work hard to keep it running, but we do not promise it will never be down or always right. To the most the law allows, we are not responsible for lost sales, wrong counts or other indirect losses. Our total responsibility to you is limited to what you paid us in the 3 months before the problem.

10. Ending things

You can stop using Scan Wizard any time. We can stop a store that breaks these terms or abuses the AI limits. We will tell you first when we can.

11. Changes

We may update these terms. The date at the top shows the latest version. If a change matters a lot, we will tell you before it starts.
