This explains what Scan Wizard keeps, who it goes to, and what you can do about it. Scan Wizard is made by Passionate Minds LLC, Aguadilla, Puerto Rico.
1. What we keep
- Your store: store name, type of store, language, and register choice.
- Your items: names, barcodes, SKUs, brands, prices, costs, stock counts, descriptions and the photos you add.
- Your scans: which barcodes were scanned, when, and the result.
- AI use: a record of each AI help (when, what kind, the cost) so we can keep within limits and bill fairly.
- Technical bits: a cookie that keeps your phone connected to your store, a random phone ID, and your network address (IP) to stop abuse and enforce limits.
We do not use advertising trackers. We do not sell your data.
2. Who else sees it
- Cloudflare runs the app and stores the data (database and photo storage).
- Anthropic (Claude) receives the barcode, the item name and any photo you ask the AI to read or write up, so it can answer. It does not receive your prices, costs or counts.
- Free barcode lists (Open Food Facts, UPCitemdb) receive a barcode number so they can look it up. Nothing else.
- Stripe handles payments once they are turned on. We never see your card number.
- Your register (Clover, Square, Shopify) receives the items you choose to send, only after you connect it.
3. A shared barcode library
When Scan Wizard looks up a product, it can keep the public facts (name, brand, photo, description) so the next store gets the answer faster. This library holds public product facts only. It never holds prices, costs, counts or your photos.
4. How long we keep it
- Demo stores nobody has opened in 7 days are cleared out.
- Real stores are kept while you use Scan Wizard. If you ask us to delete your store, we delete it.
- AI use records are kept for billing and safety.
5. Your choices
- Download all your items any time.
- Ask us to correct or delete your store and photos.
- Turn the AI web search off in your store settings.

6. Children
Scan Wizard is made for store owners and their staff. It is not meant for children under 13.
7. Security
Data is sent over an encrypted connection. Each store only sees its own items. No system is perfectly safe, so we do not store card numbers and we keep only what we need.
8. Changes
If this policy changes in a way that matters, we will update the date at the top and tell store owners.
